Crane Rental Quote Checklist
Start with three things: where the job is, what needs lifting and when you need it done. You can make the first call before you know the weight or which crane to request. This checklist helps you collect the details a provider may need to review the job and prepare a useful quote.
Download the free checklist PDF or open the browser-print version. No registration or submission required. Print it, write on it and keep it with your project paperwork.
What to have ready for the first call
| Information | What to tell the provider |
|---|---|
| Job location | Street address, city and ZIP; say if the address is still being assigned. |
| Lift description | The object, where it is now and where it needs to go. |
| Schedule | Preferred date, any fixed delivery or shutdown window, and whether the date is flexible. |
| People involved | Your name, company if applicable, and the contractor or site contact coordinating the work. |
For example: “I have a rooftop AC replacement at a commercial building in Ocala. The old unit needs to come down and the replacement needs to go up. The HVAC crew is aiming for Thursday, but the delivery date is not confirmed.” That gives the receiving provider a clear starting point without pretending the job is ready to book.
1. Describe the load and keep its documents together
Write down the item name, model number if available, quantity and known dimensions. For several lifts, list the items individually instead of describing only the largest one. Say whether the work includes removal, placement, unloading or more than one of these tasks.
If you have a manufacturer sheet, supplier document or other documented weight, identify the document and share it with the provider through the method they arrange. Label estimates as estimates. If the weight is unknown, write “unknown — provider to confirm information needed.” An unanswered box is more useful than an invented number.
Collect any drawings or existing photos you already have. The worksheet does not calculate capacity, prescribe rigging or select a crane; the provider must review the actual lifting requirements.
2. Explain the jobsite and access questions
Give the full address and identify who can authorize access. Mention known delivery-hour limits, locked gates, loading-bay restrictions or an occupied business that must coordinate the visit. If another contractor manages the site, include that person's role and contact details in your own project notes.
Tell the provider about known overhead or underground features and provide available site records. Do not decide that a parking lot, driveway or open area is suitable for crane setup based on this worksheet. Ask what site information or visit the provider requires. For construction work, OSHA's ground-conditions standard addresses site preparation and communicating known below-ground hazards; the project team must establish its responsibilities.
3. Separate a preferred date from a confirmed schedule
Record the preferred lift date, delivery arrival window and contractor readiness. Mark each as confirmed or pending. A material order, framing schedule, HVAC shutdown and crane reservation can be separate commitments.
Ask the provider when availability is confirmed, what information remains outstanding and which changes require a revised quote. Keep the name of the person coordinating the final schedule. For a time-sensitive job, say that early in the call rather than assuming an online request reserves equipment.
4. Agree who supplies what
Before booking, ask the provider to state the included equipment, operator arrangements and any supporting personnel. Establish who handles rigging, unloading, installation, disconnection, disposal, traffic arrangements and site permissions where relevant. A crane quote does not automatically include the trades that finish the project.
Use the published service guides for application-specific questions:
- HVAC crane rental: replacement units, removal and coordination with the HVAC contractor.
- Crane rental for trusses: deliveries, framing crew and the intended lift sequence for provider review.
For construction materials, machinery, roofing materials, tree-contractor support, hot tubs or containers, describe the exact load and every task you need quoted. Distinguish lifting from delivery, indoor moving, cutting, installation and disposal. The provider confirms which parts of the request it can accept.
If a specification calls for a boom truck, all-terrain, rough-terrain, crawler, carry-deck, mini or tower crane, or a bare-crane arrangement, mention it when you call. Let the accepting provider confirm suitability, availability and customer responsibilities.
5. Keep the quote and booking confirmation
Ask for a written scope and terms. Check the included work, minimum charge, travel treatment, additional charges, cancellation terms and conditions that could change the price. Use the crane rental quote comparison worksheet to put multiple proposals alongside the same project description. Our crane rental cost page explains the questions behind the total.
Save the accepted proposal and provider's booking confirmation with the checklist. Note anything still awaiting review. Completing this sheet or making an initial call does not book equipment.
Ready to talk through the job?
You do not need to finish every box. Call with the location, load and date; explain what is still unknown. Check the service-area page for the address-review process and how requests work for who quotes, contracts and carries out the lift.
